NOTE

This is a teamwork assignment. All capstone assignments should follow the corresponding competencies in the Capstone Rubric. Make sure that your report is written using proper English grammar and following the defined format.

OBJECTIVES

The primary objective of this phase is to create an effective project plan. To achieve this task, you will collaborate with other team members and build on the findings from your preliminary analysis. During this phase you will also:

  1. Get to know each other better.

  2. Get to know your client.

  3. Review project requirements from your client and other stakeholders.

  4. Clarify the primary problem you’ll be addressing in this project.

  5. Communicate professionally with multiple audiences.

ADDITIONAL GRADING DETAILS

Each team will receive constructive feedback on this assignment from their instructor. After report submission team members will be interviewed individually to assess their level of contribution and understanding of the planning process. Each team member will receive an individual grade based on the team report and his or her performance during the interview. The instructor will use the Capstone Planning Rubric to give the team feedback and grade according to the following dimensions and competencies:

  • Dimension 2 – Planning

  • Competency 1 – Communication

  • Competency 2 – Collaboration (Teamwork)

  • Competency 3 – Critical Thinking

  • Competency 4 – Research & Academic writing (Report Formatting)

PROCEDURES

Your team will submit a report in PDF format entitled “Capstone Assignment 2 – Planning”. To complete this report, you must function as a team with the workload spread across all team members. While completing this assignment you will, as a team, meet with your faculty mentor and your client (preferably face to face), apply your report writing skills, employ teaming techniques and work through planning phase.

STEP BY STEP

  1. All team members should refresh their memories concerning how to collect client requirements. You can use the textbook and course resources from your system analysis and design, project management courses as well as other courses and resources.

  2. A designated team member (liaison) contacts the client. The liaison and client set up the date and time for the first meeting. All team members must attend this first client meeting. Time is of the essence with respect to this first meeting. Have your first meeting as early as possible in case you need another meeting before this assignment is due. Be sure to schedule the meeting to fit everybody’s calendars. Note – only on rare occasions does the faculty mentor attend these meetings.

  3. The entire team meets with the client at least once to complete preliminary work on client requirements and constraints, as well as stakeholder perspectives. The team must meet with the client (in person or using technology) before this assignment can be completed.

  4. After your team meets with the client, review the relevant materials on problem clarification. This is the first “official” phase in the planning process.

  5. Plan your project in detail. You must define the scope of the project and outline the work to be performed. During this phase, your team should choose a development process, prioritize the project tasks, calculate a budget and schedule, and determine what resources are needed.

  6. Use the Report Format Guidelines below to prepare a draft project plan and review this plan with your primary sponsor.

  7. Finalize the report and submit it in PDF format.

REPORT FORMAT GUIDELINES

  1. Front Matter. Create a cover page for your report that includes course code and title; assignment title; project name; all team member names; faculty mentor’s name; client’s name & organization. Your report must include page numbers on all pages and an automatically generated table of contents.

  2. Abstract. Write a 100-word abstract that summarizes the rest of the report. Think of it as an Executive Summary.

  3. Introduction. Write at most 200 words describing the purpose of this assignment.

  4. Business Requirements and Constraints. Write at least 250 words describing how you determined the business requirements. Describe the number and types of team meetings, including those with the client and those without the client. Describe business requirements and constraints (primarily technical) including requirement definitions and explain how they will impact your work. Be sure to include customer priorities on different requirements. Use appropriate graphics to enhance your report.

  5. Stakeholder Perspectives. Write 250 words describing the perspectives of stakeholders other than the actual client. Where relevant, compare and contrast these perspectives with the business requirements.

  6. Project scope statement. Use the project scope template to describe the scope of the project (at least 200 words). Your scope statement should typically include a justification explaining the need of the project and how the end result will solve that needs, a project scope description listing out what is within or out of scope (project Boundary), project deliverables and any exclusions, constraints and/or assumptions that may apply.

  7. Adopted Methodology. Write at most 300 words supported by diagrams describing the  methodology adopted by the team in the project (examples: Structured, Agile models (Scrum, XP), Iterative & Incremental models, etc.) that will come down to your goals, the size of the project and your team, and other factors.  Justify your choice. In case you are doing an evaluation type of project, you must describe your evaluation methodology including the aspects to be evaluated, evaluation criteria, and methods/techniques to be followed to perform the evaluation. 

  8. Work Breakdown structure (WBS) and WBS dictionary. Use the WBS template or a similar tool to list all significant tasks and sub tasks and include dictionary samples for the most important entries (at least one for each major category). WBS can be structured by deliverables or methodology phases.

  9. Time Management. Use appropriate tools and techniques to develop a schedule for project. Identify major milestones and use critical path analysis and other relevant techniques to estimate project duration. Make sure you include charts and graphs to illustrate/support your findings.

  10. Cost Management. Identify different types of resources to complete the project and estimate their costs that are required to compute the total project budget. Describe and explain the methods used to estimate cost using detailed examples.

  11. Risk Management Plan. Write 200 words describing the potential project risks. Categorize the risk identified and describe the possibilities/fallback plans you have considered to mitigate these risks. Compile your findings in a Risk Register.

  12. Discussion/Reflection. Write at least 250 words (individually or as a group) where you clarify the problems and summarize the major challenges the team has identified for this project. List technical areas that team members must study before they can complete the project. Use appropriate graphics to enhance your document.

  13. References. List your references including refereed journal articles, standards, web sites and verbal communications with experts. Use the APA referencing format for both inline citations and bibliography.

  14. Font. Use black font, 12 points font, double or single line spacing (your choice) and one-inch margins.
