Project: Dog Café

Introduction

The Dog’s café will be a completely new experience; the concept is a combination of enriching and friendly café atmosphere dedicated exclusively for dog lovers. The café is expected to set a benchmark when it comes to business and humility. The project propose to support the dogs which are rescued and placed in various shelters. Our customers will be not only able to taste the impeccable quality in food and beverages but also be able to give treats and enjoy interacting with the adopted puppies and dogs.

One of the purposes of the project is to provide a platform to those individuals who do innately have the desire to raise dogs but have no mean for raising an animal so the café shall prove to be a space where they can spend some quality time. The café shall not confine or cage the dogs inside the premises so they can roam around freely. However, the food and beverages will be strictly monitored so that both customers and the animal are kept safe. The project involves the careful formulation of planning, budgeting, and structural division of primary operations to minimize potential scope creeps and consistency of deliverables.

Scope

The project: Dog’s Café is expected to be completed within a time frame of eight months, beginning from the month of January to August of the year 2020. The total budget allocated for the project is $83,000. The Dogs' Café will be located in Downtown Vancouver. The project includes designing, staffing, formulating policies, Procurement of essential furniture and utilities and also establishing a fully functional kitchen and beverage dispensers. The Project consists of creating a channel to adopt dogs from rescue centers and train them adequately to mingle with the customers. The Project also proposes to help customers to adopt the dog’s form the café’s facility. The project milestones are compartmentalized into five phases, namely, fundraising, applying for permits and licenses, renovation and designing of the premises, installations of essentials and finally, the launch. The project's exclusions include the housing of the dogs, and also the café shall outsource the health check of the Dogs and puppies before adoption, the café shall not be responsible for ensuring the dogs after they are adopted the.

Major Objectives

The primary objective is to have an active Dog Café. The first objective will be to obtain funding for the project. Dog Cafés are a business as well as a rescue center for dogs, which is a humanitarian agenda. The segment is unlikely to generate profits in the future hence the need to solicit funding from well-wishers. Attaining the objective will require setting up a go-fund-me page to appeal to dog lovers. Such funds are critical kick-starting the café with the target of saving dogs that would otherwise have lost homes. Included in the objective is the need to look for other sources of funding, such as willing investors or loans from financial institutions.

Another primary objective is securing a license to run the business. Several regulations limit the creation of animal café at the federal and local levels (Lin, 2019). The target is to attain a valid operational license that allows the serving of drinks and packed food in the presence of dogs. Finding the right validation will require offering design and a business plan that does not contravene any existing regulation that affects the café area.

Securing viable premises for the business is necessary to attain the objectives. Purchasing property is expensive and is likely to delay the implementation. A viable option will be to lease premises that are within the design of the café. It is vital to obtain property that the owner allows significant changes to suit the business needs. It is also crucial that the premise allows the presence of pets since some buildings restrict pet ownership (Casey, 2019). The next move is to design the place for the business. That will involve significant construction projects.

The final step in attaining the objective will be to install the right business structure and resources to run the business. It will include installing the proper apparatus to make and serve drinks as well as cages to hold the dogs. Another objective is to have the organization on the online platform. Many clients can order products from the store and offer critiques if the online platform is operational. The attainment of the primary objective is to have a running dog café. That will occur after every goal is implemented, and the right licensing is obtained. An operational dog café will offer the patrons a chance to sit in the café with their pets. In addition, dog café should have a high number of adoptions for stray and unwanted pets.

Major Milestones

The main milestone is to have the project implemented within ten months. The first milestone is to find funds within the first two months. The milestone will be attained if the total funding for the project is guaranteed. That includes having financial guarantees from the public and the banks. The idea is to ensure that the two months have an established assurance for the organization. The available funds should be able to fund the licensing process, construction, and working capital.

The second milestone will be to obtain the licensing for the café between the third and fifth month. The licensing milestone is critical since it will determine the services offered at the café. The idea will be to focus on creating a business plan that will exploit existing loopholes in the law. The two-month period will mainly involve overcoming the government bureaucracy and allowing time for assessment. It is also adequate time to allow the team to initiate corrective measures where some applications are rejected.

The third milestone will be to ensure that a premise is available and designed to suit the business. The milestone should take four months to complete. It will involve finding a premise that can accommodate a dog café without contravening any by-laws and regulations. The premise will then be reconstructed to fit the business. That will include installing cages and a sitting area that can fit the dogs and the owners.

The fourth and last milestone will be to launch the business in the tenth month. The last two months will involve finalizing the project. That will include finding the right staff and suppliers for the business. All the contracts should be completed before the tenth month. The period will also involve establishing the right network and creating attractive designs to the premise. The period should end with the information system, including the website, which is ready for launch.

Major Deliverables

The major deliverables for the project include launching an area where people can relax with their feline friend and offer an avenue for dog adoption. There are very few places that people can sit with their pets while enjoying drinks with their friends. The dog café should offer pet lovers with an opportunity to interact in public spaces without any prejudice. Many buildings and entertainment avenues restrict pets (Bould, Bigby, Bennett & Howell, 2018). The dog café will offer the solution since pet owners will find ways to socialize without leaving their pets at home.

The next major milestone is to find a platform that facilitates the adoption of dogs. Any dog is left homeless for a variety of reasons. Instead of killing the dogs, the café will offer them a chance to find new and caring owners. Pet lovers that visit the store will bond with the homeless dogs and adopt them. All the funds from the adoption will continue to fund other homeless dogs. The ultimate goal is to design a place that offers such dogs a caring future.

Work Break Down Structure (WBS)

Risk Management

Having a cafe with dogs in it is an excellent idea as this can be entertaining for people who love to pet dogs. But in the way of building this cafe their can be many significant risks which can affect our café project in a negative way. This risk can even interrupt or can stop our project (Majeed, 2018). So to save ourselves from such a threat and to plan about how to face that risk in the pre-planning stage is essential for the success of the project. So that is where we do risk management where we find out about the risk and prioritize the major one first and have the remedies ready for that risk in terms of risk management (Majeed, 2018).

Similarly, in this project of café, the risk can be as follows:

  • Missed in dog vaccination- Vaccination is an important part when it comes to a dog, especially the ones that are pet dogs and are in regular interaction with humans. Their vaccination should never be missed (Radosta and PetMD, 2012). That can result in some diseases in dogs, which will be harmful to the dog as well as for humans especially to just born, or pregnant ladies (Radosta and PetMD, 2012). Therefore, this can be a higher risk, so we have to be careful about our dog vaccination schedules.

  • The dog can bite someone from customers- The other risk can be our dogs may have a bad past with the humans as we will be bringing the dogs that have been abandoned by their owners. So, if some of the dogs might have a bad experience with the human and if he bites someone, there can be a significant issue for the café.

  • Food items can get dog germs and can become harmful for customers- Also the other significant risk is with our café food if the food items are made and served in the presence of dog around their might be the chances that the food can get dog germs and can get contaminated (My Animals, 2018). Also, it is common to get the dog's hair in the customer's food, which is again a risk for the café (My Animals, 2018).

  • Hard to get food safety license- One of the significant risks is to get a food safety license, the Canadian and U.S health codes and the food safety codes are stringent, especially for the café like this (Halpern, 2016). Also, the BC small business specifies that dogs are not permitted inside the restaurant where the food is served (MacGregor, 2015). So to get the food license, we need to design our restaurant; likewise, the food and dog do not have contact.

The communication Plan for Dog’s Café includes the efficient channels which enable to establish both formal and informal communication with the utmost ease. The channels are strategically designed to eliminate any hindrances in the flow of vital information.

The mode of communication is mostly through Emails, which the team members to be aware of relevant information. However, the plan includes a bi-monthly meeting of significant stakeholders wherein the minutes of the meeting will be documented and shared with the essential stakeholders. The method also includes direct communication with the project director, where the critical decision becomes necessary. The agenda for the general meeting will be prepared and communicated to the stakeholders a day before the scheduled meeting, this in effect, is expected to save time as it eliminates the need for an introductory briefing. The Project Director will lead the general assembly and the participants include:

• Project Manager

• Project Director

• Principle Investors

• Team Members or Staffs
• Other stakeholders.

The changes in the scheduled communication plan will be informed accurately to the parties of interest in the form of email updates. The expected communication plan will inevitably help in creating an accurate and functional flow of the project information.

Budget

The budget plan for this project is targeted at estimating how much money will be needed for the project at the time it starts. Also, pointing out the final amount required, and the possible annual cost will be included in this part. In particular, expenses for marketing, machines, kitchenware, furniture, business licences and any other related fees of the business.

Start-up Cost

Approximately

Annual Cost

Approximately

Notes

Marketing

$ 3,000

$ 1,200

This includes logo and website expenses.

Machines

$ 10,000 (Neugarten, 2020)

There are possible machines like the coffee machine and the debit card machine.

Kitchenware

$ 4,000

Oven, blender and fridge are included

Furniture

$ 20,000 (Neugarten, 2020)

Business License

$ 60 (City of Vancouver, n.d.)

$ 74 (City of Vancouver, n.d.)

Renting ( 200 m2 )

$ 3,000 (Zumper, n.d.).

$ 36,000

Cost for 15 dogs

$ 2,600 / dog (Team, 2018)

$ 39,000 for 15 dogs

$ 1,050 / dog (Team, 2018)

$ 15,750 for15 dogs

As the dogs are brought from shelter and customers can adopt them if they want, the cost could be lower than the normal mentioned adoption price. Also, the number of dogs come and go can alter, so the cost will change if that happens.

Maintenance (twice/year)

$ 250 (ECS Coffee, n.d.)

Income tax

9% of income (Government of Canada, 2019)

This part is not yet included in the total cost as there has not had any income data yet.

Labour Cost

$ 30,000 (Indeed.com, n.d.)

There are many ranges like managers, cashier, pet sitter and counsellor’s salaries, but this data is averagely collected and computed.

Total

$ 79,060

$ 83,274

Based on preliminary evaluation data, the budget should be around $80,000 to start-up. Also, the maintenance cost of the whole business for one year is approximate $85,000.

Assumptions

There are some assumptions that must happen in order for the business plan to be done.

  • There are many customers interested in the idea.

  • Fundraisers can provide enough budgets to implement the plan.

  • The Licence is accepted, and the project will be moved on.

  • There will be a responsive and suitable rental house to make a dog cafe place.

  • The landlords of the house have accepted that there are many dogs available in their rental house. Therefore, they have planned for possible losses as well as complaints from the nearby homes.

  • The dog shelters agree to cooperate with the cafe shop.

  • There is already excellent staff with vast experience to train and take care of the dogs.

  • There are no other competitors.

  • The place can make a profit from having customers playing in hours, selling coffee and dog services.

  • All the dogs are trained and have well-behaved with both animals and humans.

  • There are suppliers for coffee, tea, cake for the shop to sell to the client.

  • There are enough facilities for dogs, staff as well as the customer to be satisfied.

Constraints

This cafe can be useful, especially for the people who love dogs; they will get the dog and also for the dog who is abandoned and by the adaption can get a better life everything around the cup of coffee. Even not ignoring the darker side, there are some constraints in the project they are as follows:

  • The first and foremost limitation will be, we will only be able to attract the people who love dogs. There might be many who love other pets more than the dog, so there are chances they might not come.

  • Also, the people who are scared of the dog will not come to our café, so we are losing the number of customers.

  • There may be the chance that we get some legal issues and permissions in opening this cafe as it is not only the café but also the adoption and pet care center altogether.

  • We even can be rejected to do this project by small business bc or restaurant safe bc as this café has food and pets together in one place (MacGregor, 2015).

  • An increasing number of Cat cafes in Vancouver (three already existing and one new coming) can be the competition for us as they are physically living, and cats are more cute and silent due to which they might attract more volume of customers (William-Ross, 2019).

  • Complain from the neighbourhood and surrounding our dog barks and other harm from it can be one possibility.

  • The admission fee required for every hour you spend at the cafe can also reduce our customer counts.

Business needs

• The objective of every business is to earn profit and to achieve these goals every company has some requirements. The need for this business is to change people’s perception of dogs, as many people do not like dogs because they are scared of them. This will lead to a place where people can spend quality time with pets.

  • There will need to hire a specialist dog trainer who can train them well so that dogs can not provide any harm to anyone. Further, in this business, automated machinery is needed for the operations in café, such as automatic drip coffee makers, espresso machines, and so on (Spacey, 2018).

  • This concept of having a dog’s café is not accessible in any country. So, there is a need to create awareness among people and to present this concept in such a way that people should accept it within a short period. Lastly, for marketing, there will be a need for having strategic plan advertising budget for both online and offline marketing (Royer, 2017).

Monitoring and evaluation plan

The whole project will be monitored and evaluated by the project manager. If there will be any contingency, then that will be immediately reported to the project manager. For properly monitoring the plan, the meetings will be conducted at regular intervals.
