The plan for the week will provide information and require the department executives to go through the old system sites. The plan will also serve the requirements of changes and needs the executives have required from the new system. Sites of each of the departments are set in the same way as they appeared in the old system; however, the newer site is equipped with some different and unique controls. The executives will be required to access the site, trying to add document libraries and other relevant documents in the system. The executives will also be required to set some permission/check on these sites for safeguarding their documents. By the end of this week, all these expectations will be met successfully.


Project Task for this week:
  • To attain the satisfaction level of executives with the new system, they must first log in to the newer system and go through the sites. The new SharePoint for this week for some of the sites will not be available conducting some tests out for the other department's executives. This exercise will help the IT department to understand the differences found by those executives in the newer system going through the testing phase. For the newer system, the integration of three sites up will help the executives test the old system's prevailing sites. These three sites up include, change, look, and field of the sites, settings on the site, and the permission on the newer sites. Permission on the sites is specific to the executives, and they will decide to allocate the authority of the same.

  • After completing the login process on the newer system, the executives will be required to upload a new document library while setting permission to check the security of their documents. After confirming the security of their documents, they can go further and allocate a person with his or her name giving him/her the authority to access the sites and upload them in the future.

Project Task accomplished this week:
  • Log in process on the newer system was completed by the departments’ executives while observing the changes and user-friendliness of the new system. The executives exercised on document libraries available for them only; they also came to know how they can allocate the accessibility of document library to other employees.

  • The process of remote testing completed checking whether the site was equally efficient for working remotely through VPN connections. The remote testing also ensured the effect of different connections to be used for running the newer system.

Project Issues:
  • The week project did not face any critical issues relating to the understanding, testing, and allocating features of the newer system. Most of the executives were well familiar and had a thorough knowledge of the newer system. The first issue that the week project faced was related to the limited understanding of two of the executives. The executives of the human resources and customer relationship department demanded to provide user manual and screenshots to understand the system more appropriately. Since the sites of the newer system are entirely different in appearance, there will be a need to provide the executives with appropriate resources helping them locate the document library. A few attempts will help them familiar with the new site.

  • The second issue that the week project faced was related to the use of the old version of Office 365, as many of the executives were using the computers that had no compatibility or less compatibility with Office 365. The executives faced the issue while providing accessibility to other employees to authorize the document library. There is a need to overcome the problem by providing adequate configuration and distribution resources, which are already included in the plan.

  • The third issue was related to the allocation of authority to the employees for authenticating the document library on behalf of executives. This task could not be accomplished for this week's project. Since the executives were not sure to allocate the accessibility of the document library to some specific employees, there is a need to conduct a joint session engaging both the executives and the concerned employees to work on the demo; this will help both of them to have a thorough understanding about accessing and authenticating the document library.

Project tasks planned for next week:
  • The test will be conducted engaging both the employees working from home and office to see if there comes any issue in both the ways. It is realized that the old system was not efficient as the newer one as the latter is more responsive, reactive, and approachable. Employees working through a VPN connection for coauthoring the word document will also be tested in next week’s project; the success of this test will give the go-ahead to the new system to start working throughout the company. We have already informed the help desk department to arrange different batches of the laptops, and it had ensured the availability of the same configuration. The rolling out of new laptops is already planned and prioritized, so the completed testing is confirmed.
