Work Breakdown Structure

The previous assignment discussed the new knowledge management system for Infinity Consultants, allowing automatic recording, storing, and retrieving all the data related to the potential candidates. The assignment had already defined the scope, deliverables, goals, customers, and stakeholders of the project. The main goals of this Knowledge Management System are to complete the project within six months and meet the budget requirements. The project requires the necessary deliverables to turn into smaller to keep the flow of work smooth. A decomposition of all the necessary deliverables required to complete a project is known as Work Breakdown Structure (Heerkens, 2015). It represents a hierarchical order combing the grouping activities for better understanding. The WBS for the Knowledge management system includes;

  1. Enables the project team to do appropriate planning for completing the project in time.

  2. Attainment of adequate and step-by-step information required for completing the project.

  3. Achievement of project objectives through turning activities into small and manageable units

Unit 1 of the WBS relates to the time and cost of the project; similarly, in unit 2, all other components are included. The project segment includes development, transfer, user manual supporting the operating team, and project closure. The WBS for the project Knowledge management system is as follows;

The work package of the project includes:

  • The development phase of the project will include several sub-phases such as completing the requirements documentation, developing KMS files and documentation, developing visual interfaces and dialogues for KMS, designing KMS program structure, testing the KMS system, and making necessary changes.

  • In the transfer phase, we will perform various functions, including gathering all the resources from the infinity organizations and carrying out complete screening of the hard form documents, storing all digital data in electronic devices, carrying out audits of the documents conversion, and data collection and analysis - organizational assessment tool.

  • The user manual supporting the operating team will include; gathering technical data related to Knowledge Management System, receiving reviews from the users regarding their expectations from KMS, developing and printing user's manual documents, sharing user's manual document with the entire workforce, and arranging training of the end-users.

  • In the project closure phase, handing over, closure, and signing off of the project will be done.

Project Schedule

The Gantt-chat below represents the timeline and delivery of the project Knowledge management system. It is an easy way to list all required tasks to be accomplished during different phases of a project. It shows each work package under a particular head providing information about the dates of activity, duration, and delivery.

Completing work packages and project deliverables require the project management authority to prepare a communication plan (Müller, 2019). It is a critical factor in project management since it helps track the schedules, issues, and actions required during the project phases. With the help of a solid communication plan, the project management team can understand the information flow essential for completing the project. The communication plan will describe what information is required, to whom the data is transmitted, and when the information is transmitted. The company's sponsor and top management are the core target group for the communication plan; however, the project manager and their team are also part of the communication plan. Sponsors will be timely informed if the project needs any extension or delays; they will be provided information on a daily basis about the project progression. The top management will be updated on the project status for managing the project's portfolio. The project management team will need to see what needs to be done in terms of schedule, specifications, and task lists. The project manager will monitor the issues of deliverables, milestone reports, and team status meetings.
