Addressing the lack of a system in place for stocking the patient rooms at a hospital.
Introduction
There's a patient in a hospital room that was admitted because she has recurring severe headaches. The Registered Nurse (RN) goes into the room to greet the patient and notices that there's essential equipment missing. The RN then goes to the supply room and has a difficult time finding the equipment. Eventually the RN finds the equipment and takes it to the patient's room. However, not having the equipment in the room before the patient arrives makes the hospital look very unprofessional. In this case there seems to be a problem with the system in place for stocking the rooms.
Models used
Using the Ishikawa Fish Bone analysis possible causes to this problem can be found. In this case,
one of the listed possible causes is lack of responsibility, there is no one responsible for ordering supplies and restocking rooms. Another possible cause is lack of communication, meaning that the process for ordering supplies is different for each staff member. Another possible cause is hoarding materials, some people might be storing supplies, worried they might run out. And lastly, the storage room might be unorganized, most of the staff might have a difficult time finding materials in the storage room.
To find a solution to this problem the Lewin's Change Model can be used. This model allows for an understanding of the change process. First the need for change is made clear, then there is movement towards the new desired level. Then the new behavior is solidified as a norm.
Recommendations:
Designate who is responsible for ordering supplies and stocking the rooms.
Establish a chain of communication for ordering supplies.
Establish a check sheet for tracking room stocking and responsibility for overseeing the check sheet.
Determine responsibility for keeping the room equipment organized.
Standardize the organization of the items in the supply room by using labels and containers.
