Introduction:

On this day, the U.S. Army, Ground Forces and Special Operations, has contracted our company to provide them with 200 units of the Backpack with a built in refrigerated pouch with radio module. We are expected to deliver the first 100 units 12 months from now, on the 1st of September 2016, and 50 units every three months after the first delivery.

If we remain on schedule, and have each of our 100 employees do their best, we are expected to make the final delivery on the 1st of March, 2017. As the project manager, I am tasked with overseeing the designing, development, production, and finally the delivery of the product, and also by working with the team, ensure that we work within the 1, 500, 000$ budget.

Initial program action items

  1. Meeting with Employees and the executive staff, in order to ensure that proper introductions are met

  2. Going over the specific requirements of the customer, to ensure the proper product designs are draw up by the design team

  3. Allocating funds to the different teams, and giving them the working schedule to ensure on time deliveries

Project Risks / Risk Mitigation strategies:

In this project, the following are the risks which we might encounter: -

  1. Inability to work within the required budget, with the work requiring extra funding which might be difficult to secure, hence affect the delivery schedule.

  2. Employee demotivation or laxity, also affecting the delivery schedule

  3. Defective units which might end up beign returned

  4. Weak executive commitment

  5. Integration risks with the specific requirements of the U.S. Army

Handling these risks will require the application of some risk mitigation strategies which might include the following: -

  1. Discipline on the part of the executive staff and employees, and striving to work within the awarded budget.

  2. Organizing employees into good working teams to avoid demotivation, and constant encouragement from the management.

  3. Superior product design and careful transition from the design to the actual production phase, to ensure only units which are in the proper working conditions are produced.

  4. Ensuring strong executive commitment by reviewing the interests of each executive staff member and ensuring the interests are met as adequately as possible.

  5. Having a sit down with the U.S. Army, and getting their exact stipulations for the product, in order to ensure the proper design is done.

Memo Conclusion:

Our customer is a very strong one, and the seriousness of the project should not be taken lightly. It is important for each member of the executive staff to understand the requirements of the project, in order to allow for the proper communication of the same to the rest of the employees. Working within the required budget to ensure that the product is delivered to the customer on time is of paramount importance, and the consciousness over the time it should take to complete the different tasks should be closely monitored.
