Executive Summary

GROW Local South Texas is a leader in the South Texas local food growth movement, providing vendors, customers and everyday people with a network to buy, sell and most importantly grow local food. The current data entry and reporting systems in place limit their reporting and tracking needs for them to maintain their network efficiently.

These deficiencies make it more difficult for staff to generate the reports they need, and to keep track of their network, which in turn limits the data reporting required to access additional funding through grants potentially. Here at KCCNA Consulting group, we are focused on providing a user-friendly, scalable reporting application that facilitates GROW Local South Texas data needs, allowing them to maximize their focus on educating our local community and provide them with a network of nutritious and affordable foods.

GROW Application is our answer to your request for a user-friendly program that is customized specifically for data consolidation and easy reporting. This system will help GROW Local overcome the expansion obstacles they have been facing. It is an in-depth, focused application that will take the time to develop fully, but when it is up and working, it will be very easy to navigate.

Our application, GROW Application , will provide GROW Local South Texas with an application that enables them to enter different data into necessary forms to their business, and then generate reports on membership, vendors, volunteers, donors/sponsors, and customers. The application will also allow staff or volunteers to quickly add, edit or remove any important information so that their records are maintained and up to date.

System Analysis

As of this date, GROW Local South Texas has been in operation for 5 years. That’s quite a bit of data to have to deal with on your own. Previously, GROW Local has been using a series of Excel spreadsheets to store information they gather.

A weakness of Excel is that it is not as versatile as Access is. In other words, Excel allows the user to input and store information, but there is not a lot that can be done with the information past that, such as reports and queries. Other reporting features came from either MailChimp or PayPal. These are all external databases that allow its users to run a very standard report but do not allow for customization.

With our system, GROW Application, GROW Local South Texas has its very own internal database where they can safely manage all desired information and customize it. In addition to our database, we determined that it would be beneficial to keep MailChimp and PayPal. MailChimp will provide as an already accessible mail server to send out newsletters, invitations, and other correspondence. PayPal will continue to provide financial information and remain as a plug for the GROW Local South Texas website and online store.

Project Introduction 3With an Office 365 Business membership, you can download Access to as many devices as you want. This newest version of Access also allows for upgrades from previous versions, like Access 2013. Access can accept data from outside sources and format it to the application and it can export data to other sources. This is a huge benefit that the old system did not offer because it will all be accessible in one location, as opposed to multiple confusing spreadsheets. This application will help reduce some of the redundancies from the current system.

In addition, our system will provide GROW Local with some other desired features, like tracking. GROW Application will be able to track Vendor and Producer items, donations and sponsors, and membership expiration dates. Administrative security is also available with different logins for different user capabilities.


System Design Conclusion

KCCNA Consulting Group is eager to work with GROW Local South Texas because we support their mission to promote a healthy lifestyle and affordable food for the local community. We believe our application GROW Application will help GROW Local STX by streamlining the data entry and retrieval process and automating the systems already in place. We feel these simple adjustments to the system already in place will free up time so GROW Local South Texas can start to educate and grow vendor and customer relationships.
