Issue: CanGo has an issue with their evaluation forms. Their current evaluation forms lack the proper metrics, and the evaluating managers are confused about what the employees deserve, and what score they should be given. There is also a confidentiality concern with how these reports are given to Cango’s employees.

Solution: The current evaluation form has a scale of 1-5 in a few different categories. Since the managers and employees are confused as to what each of these numbers really mean, we suggest that each number is followed by a brief definition. This will not only help the evaluating manager decide what the employee deserves, but will also clearly show the employee where she or he is at. (halogensoftware.com)

EXCEPTIONAL (5): Consistently exceeds all relevant performance standards. Provides leadership, fosters teamwork, is highly productive, innovative, responsive and generates top quality work. Active in industry-related professional and/or community groups.

EXCEEDS EXPECTATIONS (4): Consistently meets and often exceeds all relevant performance standards. Shows initiative and versatility, works collaboratively, has strong technical & interpersonal skills or has achieved significant improvement in these areas.

MEETS EXPECTATIONS (3): Meets all relevant performance standards. Seldom exceeds or falls short of desired results or objectives. Lacks appropriate level of skills or is inexperienced/still learning the scope of the job.

BELOW EXPECTATIONS (2): Sometimes meets the performance standards. Seldom exceeds and often falls short of desired results. Performance has declined significantly, or employee has not sustained adequate improvement, as required since the last performance review or performance improvement plan.

NEEDS IMPROVEMENT (1): Consistently falls short of performance standards.


Besides these definitions we suggest using these categories to evaluate your employee. These categories not only evaluate where the employee stands in the company, but also their efforts to improve, communication skills, and teamwork ability, all of which are very important regardless of position.


Quality
Completes high-quality work according to specifications. Thoroughly follows standards and procedures. Keeps complete records. Pays attention to details. Has a strong sense of quality and knows how to achieve it.






Desire to Improve Quality
Continually looks for ways to improve and promote quality. Applies feedback to improve performance.



Job Knowledge
Possesses skills and knowledge to perform the job competently.


Communication
Organizes and expresses ideas and information clearly, using appropriate and efficient methods of conveying the information.



Interpersonal Skills
Is sensitive to the needs, feelings and capabilities of others. Approaches others in a non-threatening and pleasant manner and treats them with respect.



Conflict Resolution
Expresses alternative points of view in a non-threatening way. Knows when it is appropriate to compromise and when it is important to take a stand.



Teamwork
Works on projects as part of a team, exchanging ideas and contributing skills that complement those of the other team members. Fulfills commitments to team members.


These reports should be kept confidential and never handed out in groups. Instead a one on one approach is suggested. This is to avoid embarrassment, and improve morale. When using the one on one approach make sure the comments are explained in a constructive manner.
