Secure Apples Inc. produces highly specialized solutions to the security industry. It has extensive knowledge of the security products that exist in the market place and provides value by selecting, integrating and delivering solutions to its clients. For each customer, Secure Apples Inc. creates a unique solution based on the requirements of the client. To provide this solution, it may subcontract part of the solutions to other companies, referred to as vendors. 

A system of document control must be in place to track documents sent to vendors, and the vendor's documentation and submissions of status against milestones for on-going projects. Security of this information is very important.

A complete compilation of records and documents released, created and submitted is essential to support the requirements for project close-out. In addition, a subset of the records and documents need to be transferred to the customer, as part of the turnover of the solution to the customer.

Currently this process is performed by sending physical documents via mail/courier and logging the receipt of the documents into a spreadsheet, which is maintained on a common network folder. The documents are then scanned and placed in a network folder that is unique to each project. The documents are organized through manual effort. This worked well when Secure Apples Inc. first started business. However, it has had significant growth and the current approach is no longer acceptable.

To improve the management of its projects and provide timelier schedule updates and project control, Secure Apples Inc. requires a better way to manage the high volume of documents transferred between itself and vendors, allowing for information review, acceptance and approval.
