The brokering process begins when a prospective Client sends an announcement of services needed to the manager in the Administrative Office. The manager then checks for a suitable Provider using the Registered Provider System. If a Provider is not available, the prospective Client is notified and the search is terminated. If the Provider is available, the manager of the Contract Department queries the Provider to confirm the availability and to determine other requirements like the fee and any special conditions. The manager of the Contract Department seeks to arrange a meeting between the Client and the Provider. Due to the nature of the business, meetings are sought early in the week. If it is past Wednesday, the manager will wait until the following Monday to arrange a meeting. Otherwise, the manager will proceed to arrange the meeting and then to notify the Client and accept their confirmation. The manager of the Contract Department will then oversee the contract meeting. When the contract meeting is over, the contract is considered arranged.
Checking for a suitable provider can take (on average) anywhere from one to two days, depending on the thoroughness of the recorded information in the Registered Provider System. During this time, as it occasionally happens, a Client will decide to cancel their announcement. When this happens, the manager of the Administrative Office will take the necessary steps to halt the provider check.
